Property inspections are one of the most valuable tools available to a landlord. Regular, well-conducted inspections allow you to identify maintenance issues before they become expensive, check tenants are complying with their obligations, and maintain the condition and value of your investment.
How often should you inspect?
There is no legal requirement specifying how often inspections must occur, but 3-monthly is widely regarded as best practice for most tenancies. For HMOs or properties with higher-risk tenant profiles, more frequent inspections (monthly or 6-weekly) may be appropriate.
Notice requirements
You must give tenants at least 24 hours' written notice before entering their property. Failure to give adequate notice is a breach of the tenant's right to quiet enjoyment and could constitute harassment. In practice, giving a week's notice is good practice and reduces the likelihood of the tenant being absent.
What to check
During an inspection, check for: signs of condensation or damp (particularly in bathrooms and kitchens), condition of appliances, any unauthorised alterations or decorating, signs of additional occupants not on the tenancy agreement, condition of garden or external areas, early signs of maintenance issues (dripping taps, cracked tiles, sticking doors), and whether the property appears clean and well-maintained.
Documentation
Use a standardised inspection report and take dated photographs of any concerns. These records protect you in any end-of-tenancy dispute and demonstrate that you have been monitoring the property's condition.
After the inspection
Provide tenants with a written summary of the inspection findings, including any maintenance issues you've agreed to address and any areas where they need to improve. This creates a paper trail and sets clear expectations.
